FHCB Affiliate POS App Privacy Policy

Family Home Christian Books ("FHCB," "we," "us," or "our") respects your privacy. This policy explains how information is collected, used, and disclosed when authorized FHCB affiliates use the FHCB Affiliate POS mobile application (the "App") to place orders on behalf of their customers, view affiliate-related orders, and manage their selling activities.

The App works with the Family Home Christian Books online store. Our general Website Privacy and Cookie Policy also applies when you visit or interact with our website. This App policy provides additional information specific to the mobile application.

1. Who Uses the App

The App is intended for authorized FHCB affiliates, not for customers to place their own orders. Affiliates use it to submit purchases on behalf of customers. Affiliates should provide customers with appropriate notice before collecting or entering their personal information and only enter information necessary to fulfill their orders.

2. Information We Collect

Depending on the features you use, we may process the following information:

Affiliate account information: Your name, contact information, account identifier, sign-in credentials or authentication tokens, and affiliate-related settings.
Customer information: Customer names, contact details, billing and shipping addresses, and order-related information provided when placing or assisting with an order.
Order and affiliate activity: Items ordered, quantities, prices, order numbers, order status, shipping information, and information necessary to attribute eligible orders and commissions to an affiliate.
Payment-related information: Information needed to process a transaction. Payment-card information is submitted directly to our payment processor for tokenization, as described below.
Technical and security information: Information reasonably necessary to authenticate users, operate the App, troubleshoot errors, prevent misuse, and protect accounts and transactions. The precise categories depend on the App and services enabled.

3. How We Use Information

We use information processed through the App to:

Authenticate authorized affiliates and provide access to permitted App features.
Create, process, fulfill, and support customer orders through the FHCB store.
Calculate, display, and administer affiliate order attribution and commissions.
Provide order status, shipment tracking, customer support, and necessary transaction notices.
Maintain service reliability, investigate technical problems, and protect against fraud or unauthorized access.
Meet applicable recordkeeping, accounting, and legal obligations.

4. Payment Processing

When a payment card is entered in the App, card details are transmitted directly to Authorize.Net for secure tokenization. The App does not intentionally store or log full payment-card numbers or card security codes. The full card number and security code are not routed through FHCB's Magento store or the App developer's servers as part of the tokenization process.

Authorize.Net returns a one-time payment token that is used by FHCB's Magento checkout and existing payment integration to process the transaction. Magento may receive the token and limited card details such as card brand, expiration date, and last four digits for order processing and records. Payment processing is also subject to the payment provider's applicable privacy and security practices.

If an alternative payment method, such as Klarna, is offered, that payment is handled through the applicable payment provider and may be subject to its own privacy terms and disclosures.

5. Information Shared With Service Providers

We share information as reasonably necessary with providers that support App functionality and FHCB operations, which may include:

Our Magento e-commerce and hosting infrastructure, for account, catalog, checkout, and order processing.
Payment processing services, including Authorize.Net and, where available, Stripe/Klarna.
Fulfillment, shipping, order-support, and communication providers where needed to serve customers.
Technical service providers who maintain or support the App and related systems, subject to appropriate access controls.

We may also disclose information where required by law, to protect legal rights, or in connection with a legitimate business transaction. This policy does not authorize affiliates to use or disclose customer data outside approved FHCB business activities.

6. Affiliate Access and Customer Privacy

The App is intended to make affiliate-related order and customer information available only to an authenticated, authorized affiliate as needed for the App's functions. Affiliates should not be able to retrieve other affiliates' customer or order information. Access permissions and related backend protections must be verified before public release.

Affiliates are responsible for securing their own devices and credentials, signing out when appropriate, and avoiding the collection or retention of customer information outside FHCB systems unless authorized and necessary.

7. Cookies and Similar Technologies

The FHCB website uses cookies and similar technologies for functions such as sessions, preferences, shopping carts, and affiliate order attribution. Some web-based components used through the App may rely on comparable technologies. Please review the Website Privacy and Cookie Policy for the website's existing cookie disclosures.

8. Information Security and Retention

We use administrative, technical, and organizational safeguards intended to protect information against unauthorized access, misuse, or disclosure. No electronic service can guarantee absolute security.

We retain account, customer, and transaction information for as long as reasonably necessary to operate the App, support orders and affiliate records, comply with applicable legal obligations, resolve disputes, and protect our systems. Specific retention periods may vary by record type and legal requirement.

9. Your Choices and Requests

Affiliates and customers may contact us to request access to, correction of, or deletion of personal information, subject to applicable law and recordkeeping requirements. Some requests may require identity verification before we can respond.

To stop using the App, you may uninstall it. Uninstalling the App does not automatically delete information already associated with FHCB accounts, orders, or required business records.

10. Children's Privacy

The App is designed for use by authorized FHCB affiliates and is not directed to children. It should not be used to collect personal information from children except where permitted by applicable law and necessary for an authorized transaction.

11. Changes to This Policy

We may update this policy as App features, service providers, or legal requirements change. Changes will be posted on this page, and the effective date above will be updated.
